ScreenArt Pro vs Scribe: documentation screenshots without a $25-a-seat cloud
The short answer. Scribe is the most polished of the click-to-capture guide tools and it is priced like enterprise software: Pro Personal is $25 a seat a month on annual billing, Pro Team is $23 with a five-seat minimum, the desktop app and exports start at Pro, and automatic redaction of personal data is Enterprise only. ScreenArt Pro produces the same numbered, cropped, annotated screenshot set on Windows, from a task you rehearse once or from one sentence to an AI agent over MCP, with Smart Redact on every plan, physical-pixel captures, your brand kit, and every file on your own disk. €1.99 a month or €24.99 once, no seats, nothing hosted.

Why compare a guide tool with a screenshot tool
Scribe made process documentation look easy: install the extension, press record, do the task, and a guide with a screenshot per click and a sentence under each one appears, ready to share. For ops, support and onboarding teams it replaced an afternoon of screenshots with a few minutes.
It also set a price. Pro Personal is $25 a seat a month on annual billing. Pro Team is $23 with a five-seat minimum. The desktop app, the exports and any form of redaction start at Pro, and automatic redaction of personal data is reserved for Enterprise. For a tool that takes screenshots of your internal systems and stores them in its cloud, that is a lot of money and a lot of trust.
ScreenArt Pro approaches the same job from the other end. It is a Windows screenshot and recording app with an MCP server, so an AI agent can plan and take the numbered set for you, and a Record and Replay feature, so a task you rehearse once can be captured again whenever the UI changes. Screenshots are at the physical pixels, secrets are covered automatically on every plan, and every file stays on your PC. This article compares the two honestly.

What Scribe does well
- Capture as you click. Do the task once at normal speed and the guide exists.
- The guide is finished. Auto-written step text, a clean layout, a link, an embed, and PDF, HTML, Markdown or Word on Pro. For a browser-based SaaS process there is nothing left to assemble.
- AI improves the words. Titles, descriptions and step text get tidied on Pro.
- Enterprise governance. SSO, SCIM, role-based access, IP allow-listing, a Slack bot and translation, for organisations that need them on the guide platform itself.
If your team documents browser tasks, wants the hosted page with no assembly, and the seat price is fine, Scribe is a good tool. The rest of this article is about where the screenshots come from, where they go, and what two years cost.
The privacy case, made plainly
A Scribe guide is a sequence of screenshots of your real systems, captured while you work in them, stored in Scribe’s cloud and shared by link. For a public how-to on a public product that is fine. For the guides most teams actually write, the admin console, the HR system, the billing back office, the CRM, it creates a list:
- Every frame is a screenshot of a live system, with customer names, emails, order numbers and account IDs on screen while you click.
- Redaction is tiered. Basic has none. Pro gives you manual and assisted redaction, which means remembering on every step. Automatic redaction of personal and health data is Enterprise only.
- The link is the access control, and a guide shared once beyond the workspace is out.
- Version history is one week on Pro. Deletion is a request to a vendor’s system.
- Residency and vendor terms are theirs. For anyone under customer-data, health or finance rules, that is a question to answer before the first guide.
ScreenArt Pro removes the list. Capture, text recognition, redaction, annotation and recording run on your PC. Smart Redact is on both plans: it finds email addresses, API keys, bearer tokens and JWTs, card numbers and IBANs, phone numbers, IP addresses and connection strings with a password in them, and covers each in the colour sampled from around it, so the cover reads as part of the page. Agents get it by default on every capture. The set lands in a folder you named, with a manifest, and goes into your docs tool with the access rules and retention your organisation already has. Nothing is uploaded unless you do it.
Where ScreenArt Pro goes further
Forty screenshots from one sentence
Scribe needs you to perform the task. ScreenArt Pro’s MCP server lets an AI agent do it. Switch Automation on in Settings, add ScreenArt Pro in Claude Desktop, Claude Code, Codex or any MCP client, and this is the whole request:
“Screenshot every step of the SSO setup for our help centre.”
The agent lists your windows, reads the labels on the admin console, plans one shot per step, and ScreenArt Pro clicks through Settings and Security ahead of each one, crops to the panel that matters, draws the arrow, writes the caption, applies your brand kit, redacts anything sensitive, and saves 01-open-settings.png, 02-choose-sso.png and so on into the folder you named, with a manifest of what it did. Long runs go in the background; one step that cropped wrong can be reshot without the rest; a stopped run resumes where it was. When the UI changes, run the same plan again and the whole set is current. The agent can then write the guide page itself, in whatever tool your docs live in.
Targets are the labels you can see, and the agent gets text and coordinates back, never pixels. You approve each session, anything that moves the mouse asks again, and Esc stops everything. The automation page shows a full plan and all 25 tools.
Rehearse once, replay forever
For a task you would rather perform yourself, Record and Replay is the Scribe idea without the cloud. Do the task once in the app and it becomes a walkthrough: a list of steps with their targets that you can read, edit when a label is renamed, and replay as a clean recording at the pace you choose, or hand to the agent to capture step by step.
Any window, at the physical pixels, on every plan
Scribe’s Basic plan captures in the browser; the desktop app is a Pro feature. ScreenArt Pro captures any window on your PC on both plans, through Windows Graphics Capture at the physical pixels of each display, across monitors with different scaling, and writes an sRGB-tagged lossless PNG, so a 12px label in the help centre is as crisp as it was drawn. Enhanced Render reconstructs captured UI text and flat geometry at the output resolution where it is confident, labelled as derived. Counters, arrows, boxes, captions and highlights are editable layers, and a brand kit keeps every guide’s screenshots matching.
Video guides from the same project
Scribe shares a guide as a video. ScreenArt Pro records one: a zoom that follows your clicks, a smoothed cursor, captions and keystroke badges, subtitles generated on your PC with SRT and VTT export, intros and transitions, all rendered on the GPU, exported as MP4, WebM or GIF in 16:9, 1:1, 4:5 or 9:16. An agent can record a scripted walkthrough with the real pointer, and Smart Redact covers secrets for every frame they are visible. The recording page has the details.
Where Scribe is still the right choice
- You want the hosted guide page with auto-written steps, a link and an embed, and nothing to assemble. ScreenArt Pro delivers the screenshots; your docs tool or the agent writes the page.
- Your team is on Macs, or captures only in the browser. ScreenArt Pro is Windows-only until the Mac app ships.
- You need SSO, SCIM, RBAC and translation on the guide platform itself.
- You want comments and viewership on the guide, which is a Pro Team feature.
Price, in full
Scribe Basic is free in the browser, without the desktop app, exports or redaction. Pro Personal is $25 a seat a month billed yearly, or $35 monthly. Pro Team is $23 a seat a month billed yearly, or $29 monthly, with a five-seat minimum. Enterprise is custom.
ScreenArt Pro has two plans, and the whole app is in both:
- €1.99 a month. Every update for as long as you subscribe. Cancel from your account.
- €24.99 once. Two years of updates, then keep the last version you installed for as long as you like.
Two years of Scribe Pro Personal is $600; a five-seat team on Pro Team is $2,760. Two years of ScreenArt Pro is €24.99, with no seats, and it includes the automatic redaction Scribe reserves for Enterprise, the full screenshot editor, the recorder and the MCP server. Polar is the merchant of record, so there is a VAT-compliant invoice at checkout, and both plans have a 14-day refund.
It is cheaper for the same reason it is private: there is no cloud behind it.
Who should pick which
- A support or documentation team on Windows: ScreenArt Pro. Numbered, redacted, branded sets from one sentence, rerun when the UI changes, into the docs tool you already have.
- Anyone documenting internal systems with customer data on screen: ScreenArt Pro. Smart Redact on every plan, nothing uploaded.
- A team that also ships video guides and product demos: ScreenArt Pro. One editor, one brand kit, one project.
- A browser-only team that wants a hosted guide with no assembly and enterprise governance, and is fine per seat: Scribe.
The bottom line
Scribe turns a task you perform into a guide it hosts, at $25 a seat a month, with automatic redaction at the top tier only. ScreenArt Pro turns a sentence to your agent, or a task you rehearse once, into a numbered set of physical-pixel, redacted, branded screenshots and videos on your own disk, for €24.99 once. The guide page is yours to put wherever your docs already live.
Switch on Automation, add ScreenArt Pro to your agent, and ask for every step of a setup. If it is not the one, the refund takes 14 days.
Questions people ask
Is there a Scribe alternative that does not store my guides in the cloud?
Yes. ScreenArt Pro produces numbered, cropped, annotated screenshot sets on your Windows PC, with a manifest, and nothing is uploaded. You put the images into whatever docs tool you already use. Scribe hosts every guide in its cloud and shares it by link, embed or export.
How does ScreenArt Pro make a step-by-step guide?
Two ways. Rehearse the task once in the app and it becomes a walkthrough you can replay as a clean recording or capture step by step. Or ask an AI agent: ScreenArt Pro is an MCP server, so Claude, Codex or any MCP client can plan the steps, drive the app ahead of each shot, crop to the panel that matters, draw the arrow, write the caption, apply your brand kit, redact secrets, and save a numbered set with a manifest. When the UI changes, run the same plan again.
How much does Scribe cost compared with ScreenArt Pro?
Scribe Basic is free in the browser without exports or redaction. Pro Personal is $25 a seat a month billed yearly ($35 monthly); Pro Team is $23 a seat a month billed yearly ($29 monthly) with a five-seat minimum; Enterprise is custom. Two years of Pro Personal is $600. ScreenArt Pro is €1.99 a month or €24.99 once with two years of updates, with no per-seat pricing.
Does Scribe redact sensitive data automatically?
Only on Enterprise, where it auto-redacts personal and health data. Pro plans offer manual and assisted redaction; Basic has none. ScreenArt Pro’s Smart Redact is on both plans: it runs text recognition on your PC and covers emails, API keys, tokens, card numbers, phone numbers and IP addresses automatically, in the colour sampled from around each match, in screenshots and recordings.
Does ScreenArt Pro write the step text and the guide page?
No. ScreenArt Pro delivers the screenshots, numbered and captioned, with a manifest; your docs tool, or the agent that asked for them, writes the page. Scribe produces a hosted guide with auto-written steps and exports to PDF, HTML, Markdown and Word on Pro. If you need the hosted page with no assembly, Scribe does that.
Does ScreenArt Pro capture desktop apps or only the browser?
Any window on your Windows PC, on every plan. Scribe’s Basic plan captures in the browser only; the desktop app is a Pro and Enterprise feature.
ScreenArt Pro is $1.99€1.99£1.69 a month or $24.99€24.99£21.99 once, for Windows 10 and 11, with a 14-day refund on either plan. If a figure about Scribe above is out of date, write to us and it will be corrected.
