ScreenArt Pro vs Tango: step-by-step guides from an agent on your PC, not a cloud per seat

The short answer. Tango is the best-known tool for turning a clicked-through task into a hosted how-to guide, and it is priced per seat ($22 a user a month for one or two users on annual billing, $15 for teams, free for five guides), hosted in Tango’s cloud, with blur on Pro and automatic PII redaction only on Enterprise. ScreenArt Pro produces the same numbered, cropped, annotated screenshot set on Windows, either from a task you rehearse once or from one sentence to an AI agent over MCP, with Smart Redact on every plan, physical-pixel captures, your brand kit, and every file on your own disk. €1.99 a month or €24.99 once, no seats, nothing hosted.

Why compare a guide tool with a screenshot tool

Tango solved a real problem: nobody wants to take forty screenshots of a setup flow by hand. Install the extension, press record, click through the task, and Tango captures a screenshot at each click, crops around the cursor, writes “Click Settings” under it, and publishes a guide you share by link. Support teams and ops teams adopted it fast.

ScreenArt Pro solves the same problem from a different direction. It is a Windows screenshot and recording app with an MCP server, which means an AI agent can plan and take the whole numbered set for you, and a Record and Replay feature, which means a task you rehearse once can be captured or recorded again whenever the UI changes. The screenshots are at the physical pixels of your display, secrets are covered automatically on every plan, and every file stays on your PC.

The two tools overlap exactly where documentation teams spend their time, and they differ on price, on where the data goes, and on what you get at the end. This article compares them honestly.

What Tango does well

  • Capture as you click. You do the task once at normal speed and the guide exists. Nothing else is quite as frictionless for a browser flow.
  • The guide is a page. Steps with auto-written text, a tidy layout, a link, an embed, and PDF, HTML or Markdown out. For a help centre that already lives in a browser, that is most of the work done.
  • Guidance overlays. On Pro and Enterprise, the same steps can appear inside the live app for the person doing the task, which turns documentation into on-screen training.
  • Team features. Comments, reactions, viewership insights, SSO, SCIM, audit logs and translation on Enterprise.

If your team documents browser-based SaaS tasks, wants the hosted page, and the per-seat bill is fine, Tango is a good tool. The rest of this article is about where the screenshots come from, where they go, and what two years cost.

The privacy case, made plainly

A Tango guide is a set of screenshots of your real systems, stored in Tango’s cloud and shared by link or embed. For a public how-to on a public product that is fine. For the guides most teams actually write, the admin console, the HR system, the billing back office, the internal dashboard, it creates a list to think about:

  • Every frame is a screenshot of a live system. Customer names, emails, order numbers and account IDs are on screen while you click, and they go up with the step.
  • Automatic redaction is an Enterprise feature. On Pro you blur by hand while capturing, which means remembering, on every step, what is in the frame.
  • The link is the access control. Shared once beyond the workspace, it is out.
  • Retention is Tango’s. Version history is 14 days on Pro. Deletion is a request to a vendor’s system, with whatever caches and exports that implies.
  • Residency and vendor terms are theirs, not yours.

ScreenArt Pro removes the list. Capture, text recognition, redaction, annotation and recording run on your PC. Smart Redact is on both plans: it finds email addresses, API keys, bearer tokens and JWTs, card numbers and IBANs, phone numbers, IP addresses and connection strings with a password in them, and covers each in the colour sampled from around it, flat or gradient, so the cover reads as part of the page. Agents get Smart Redact by default on every capture. The set lands in a folder you named, with a manifest, and goes into your docs tool with the access rules and retention your organisation already has. Nothing is uploaded unless you do it.

Where ScreenArt Pro goes further

Forty screenshots from one sentence

Tango needs you to perform the task. ScreenArt Pro’s MCP server lets an AI agent do it. Switch Automation on in Settings, add ScreenArt Pro in Claude Desktop, Claude Code, Codex or any MCP client, and this is the whole request:

“Screenshot every step of the SSO setup for our help centre.”

The agent lists your windows, reads the labels on the admin console, plans one shot per step, and ScreenArt Pro clicks through Settings and Security ahead of each one, crops to the panel that matters, draws the arrow, writes the caption, applies your brand kit, redacts anything sensitive, and saves 01-open-settings.png, 02-choose-sso.png and so on into the folder you named, with a manifest of what it did. Long runs go in the background; one step that cropped wrong can be reshot without the rest; a stopped run resumes where it was. When the UI changes, run the same plan again and the whole set is current.

Targets are the labels you can see, so a plan reads like instructions to a colleague, and the agent gets text and coordinates back, never pixels. You approve each session, anything that moves the mouse asks again, and Esc stops everything. The automation page shows a full plan and all 25 tools.

Rehearse once, replay forever

For a task you would rather perform yourself, Record and Replay is the Tango idea without the cloud. Do the task once in the app and it becomes a walkthrough: a list of steps with their targets that you can read, edit when a label is renamed, and replay as a clean recording at the pace you choose, or hand to the agent to capture step by step. The rehearsal is yours; the clean take is ScreenArt Pro’s.

The screenshots are better

Tango captures what the browser or the desktop capture gives it. ScreenArt Pro captures through Windows Graphics Capture at the physical pixels of each display, across monitors with different scaling, and writes an sRGB-tagged lossless PNG, so a 12px label in the help centre is as crisp as it was drawn. Enhanced Render reconstructs captured UI text and flat geometry at the output resolution where it is confident, labelled as derived. Counters, arrows, boxes, captions and highlights are editable layers, and a brand kit keeps every guide’s screenshots matching, with a backdrop, corners, shadow and lighting if you want them.

Video guides from the same project

Tango embeds video in a guide. ScreenArt Pro records it: a zoom that follows your clicks, a smoothed cursor, captions and keystroke badges, subtitles generated on your PC with SRT and VTT export, intros and transitions, all rendered on the GPU, exported as MP4, WebM or GIF in 16:9, 1:1, 4:5 or 9:16. An agent can record a scripted walkthrough with the real pointer, and Smart Redact covers secrets for every frame they are visible. The recording page has the details.

Where Tango is still the right choice

  • You want the hosted guide page, with auto-written step text, a link and an embed, and nothing else to assemble. ScreenArt Pro delivers the screenshots; your docs tool or the agent writes the page.
  • You want guidance overlays inside the live app for the people doing the task.
  • Your team is on Macs, or captures only in the browser. ScreenArt Pro is Windows-only until the Mac app ships.
  • You need SSO, SCIM, audit logs and translations on the guide platform itself.

Price, in full

Tango is free for up to five workflows and ten users. Pro is $22 per user per month billed annually ($30 monthly) for one or two users, and $15 per user per month billed annually ($20 monthly) for teams of three or more. Enterprise is a custom platform fee. Every user is paid.

ScreenArt Pro has two plans, and the whole app is in both:

  • €1.99 a month. Every update for as long as you subscribe. Cancel from your account.
  • €24.99 once. Two years of updates, then keep the last version you installed for as long as you like.

Two years of Tango Pro for one person is $528; for a five-person team on the Team rate it is $1,800. Two years of ScreenArt Pro is €24.99, with no seats, and it includes automatic redaction that Tango reserves for Enterprise, the full screenshot editor, the recorder and the MCP server. Polar is the merchant of record, so there is a VAT-compliant invoice at checkout, and both plans have a 14-day refund.

It is cheaper for the same reason it is private: there is no cloud behind it.

Who should pick which

  • A support or documentation team on Windows: ScreenArt Pro. Numbered, redacted, branded sets from one sentence, rerun when the UI changes, into the docs tool you already have.
  • Anyone documenting internal systems with customer data on screen: ScreenArt Pro. Smart Redact on every plan, nothing uploaded.
  • A team that also ships video guides and product demos: ScreenArt Pro. One editor, one brand kit, one project.
  • A browser-only team that wants a hosted guide page and in-app overlays, and is fine per seat: Tango.

The bottom line

Tango turns a task you perform into a guide it hosts, per seat, with automatic redaction only at the top tier. ScreenArt Pro turns a sentence to your agent, or a task you rehearse once, into a numbered set of physical-pixel, redacted, branded screenshots and videos on your own disk, for €24.99 once. The guide page is yours to put wherever your docs already live.

Switch on Automation, add ScreenArt Pro to your agent, and ask for every step of a setup. If it is not the one, the refund takes 14 days.

Questions people ask

Is there a Tango alternative that keeps the guide on my own computer?

Yes. ScreenArt Pro produces numbered, cropped, annotated screenshot sets on your Windows PC, with a manifest, and nothing is uploaded. You put the images in whatever docs tool you already use. Tango hosts every guide in its cloud and shares it by link or embed.

How does ScreenArt Pro make a step-by-step guide?

Two ways. Rehearse the task once in the app and it becomes a walkthrough you can replay as a clean recording or capture step by step. Or ask an AI agent: ScreenArt Pro is an MCP server, so Claude, Codex or any MCP client can plan the steps, drive the app ahead of each shot, crop to the panel that matters, draw the arrow, write the caption, apply your brand kit, redact secrets, and save a numbered set with a manifest. When the UI changes, run the same plan again.

How much does Tango cost compared with ScreenArt Pro?

Tango is free for up to five workflows and ten users, then Pro is $22 a user a month billed annually ($30 monthly) for one or two users and $15 a user a month billed annually ($20 monthly) for teams of three or more; Enterprise is custom. ScreenArt Pro is €1.99 a month or €24.99 once with two years of updates, with no per-user pricing. Two years of Tango Pro for one person is $528; two years of ScreenArt Pro is €24.99.

Does Tango redact sensitive data automatically?

On Pro you can blur sensitive data while capturing, by hand; automatic PII detection and redaction is an Enterprise feature. ScreenArt Pro’s Smart Redact is on both plans: it runs text recognition on your PC and covers emails, API keys, tokens, card numbers, phone numbers and IP addresses automatically, in the colour sampled from around each match, in screenshots and recordings.

Does ScreenArt Pro make the guide page with the text steps?

No. ScreenArt Pro delivers the screenshots, numbered and captioned, with a manifest; your docs tool, help centre or the agent that asked for them writes the page. Tango produces a hosted guide page with auto-written step text, PDF, HTML and Markdown export, and on-screen guidance overlays inside the live app. If you need the hosted page and the overlay, Tango does that.

Does ScreenArt Pro record video guides too?

Yes. The same app records the screen with a zoom that follows your clicks, a smoothed cursor, captions, keystroke badges and subtitles generated on your PC, and an agent can record a scripted walkthrough with the real pointer. Tango’s output is a step guide with video embeds.

ScreenArt Pro is $1.99€1.99£1.69 a month or $24.99€24.99£21.99 once, for Windows 10 and 11, with a 14-day refund on either plan. If a figure about Tango above is out of date, write to us and it will be corrected.
